Green Orchard Recruitment are thrilled to be partnering with an outstanding organisation based in Hemyock in the heart of the Blackdown Hills to manage the recruitment of an Operations Administrator to join their team on a part-time maternity cover (12 – 15 months).
Reporting to the Operations Director, you will be responsible for assisting with operational planning, and providing comprehensive administrative support to the small, fast-paced Head Office team.
The role will be based at our clients’ operational site in Hemyock. Due to the rural location, access to a vehicle will be required. We can consider applications from candidates seeking part-time opportunities over either 4 days (Monday to Thursday) or 5 days (Monday to Friday) working 25 hours per week. The office is open from 08:00 – 18:00, so there is flexibility around working hours.
Key responsibilities of the role will include:
- Provide comprehensive administrative support to the Operations Director
- Assist with the line management of the maintenance engineers, including monitoring overtime, on call / call out hours for departments and collating engineers job sheets.
- Attend maintenance meetings, distribute notes and actions, and hold individuals to account for allocated actions.
- Maintain and administrate the Asset Management database (CMMS system).
- Work with the Operations Director to plan, coordinate and allocate work orders to the Central Maintenance Team on the system.
- Create, update, and close completed work orders
- Provide comprehensive administrative support to the Finance Director.
- Process invoices and supplier payments and reconcile supplier statements.
- Allocating payments, chase outstanding invoices and draft invoices for the Finance Director to check and send.
- Work with the Operations and Finance Directors to maintain spreadsheet data.
- Maintain reporting functions covering maintenance costs, fleet management and vehicle checks, stock of purchased and issued uniform etc.
About you:
- Proven background in fast paced administrative roles.
- Competent in the use of various software packages, including MS Office, Excel and various databases.
- Highly organised, with the ability to multitask and respond to an ever-changing workload, prioritise and manage expectations
- Excellent written and oral communication skills to maintain effective and thorough distribution of information
- Accountable and committed to the on-time delivery of tasks and projects.
- Self-motivated and able to work within a team-focussed environment.
- Enjoys interacting cross functionally and working in a n operational / engineering environment.
